This policy explains how Love Saundersfoot uses personal information and cookies.

Who we are

Love Saundersfoot is operated by Saundersfoot Events Group C.I.C., a community interest company registered in England and Wales (company number 16444903). We are responsible for personal information collected through this website and our related membership, enquiry and newsletter activities.

Registered office: Royal Oak, Wogan Terrace, Saundersfoot, Wales, SA69 9HA.
Email: hello@lovesaundersfoot.co.uk.

Information we collect

We collect the information you provide when you contact us, subscribe to our newsletter, submit an event or apply for or manage a business membership. This may include your name, email address, telephone number, business details, event information, photographs, messages and correspondence.

For memberships, we also hold billing details, invoices and payment records. Businesses are invoiced separately; this website does not take online membership payments or collect payment card details.

Our website and service providers may collect technical information such as IP addresses, browser and device information, pages viewed, approximate location and website interactions. Forms may store submissions on the website. Please only provide information needed for your request, and obtain permission before supplying another person’s details or photographs.

How we use information

  • Enquiries and community activities: to respond, administer submissions and maintain accurate information. Our lawful basis is our legitimate interests in running and promoting a community website.
  • Business memberships: to administer membership, publish agreed listings and deliver promotional services. We rely on performance of a contract where the member is an individual, and legitimate interests where we deal with a representative of a business.
  • Invoices and records: to manage accounts and meet accounting, tax and other legal obligations.
  • Newsletters: to send the Saundersfoot news and updates you subscribe to. We rely on your consent. You can unsubscribe using the link in any newsletter or contact us.
  • Website operation and security: to maintain the website, prevent misuse and resolve technical problems, based on legitimate interests.
  • Analytics: Google Analytics helps us understand website use and loads only after you consent to analytics cookies. Use the cookie banner to choose whether to allow analytics cookies.

You do not have to provide personal information, but we may be unable to respond, administer your membership or send newsletters without the relevant details. We do not use your information to make decisions with legal or similarly significant effects through automated decision-making.

Who receives information

Information is available to authorised people who administer Love Saundersfoot and to service providers supporting our website, hosting, maintenance, email and administration where needed for their work. We use Mailchimp to manage newsletter subscriptions and send emails, and Google Analytics to measure website use. We may disclose information where required by law or necessary to establish or defend legal claims.

Business listings, event details and content submitted for publication can be visible to anyone visiting the website. We do not sell your personal information.

Google and Mailchimp may process information outside the UK. Their applicable data protection arrangements include contractual safeguards and, where applicable, recognised international transfer frameworks. Further information is available in Google’s privacy policy, Mailchimp’s privacy statement and Mailchimp’s information about international transfers. Contact us if you would like information about safeguards relevant to your data.

How long we keep information

We keep information for as long as needed for the purpose it was collected, taking account of ongoing enquiries or membership, record-keeping obligations and potential disputes. Enquiry and form records are retained according to their purpose and any necessary follow-up. Membership records are kept while the relationship continues and afterwards where needed for accounting, legal obligations or claims.

Newsletter details are kept while you remain subscribed. After unsubscribing, limited information may be retained to record your preference and prevent further marketing. Published listings are reviewed or removed when no longer relevant. Analytics retention is governed by the settings in our Google Analytics account; cookie lifetimes are described below. Contact us to ask about a particular record or request deletion.

Your rights and choices

Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction of processing or a portable copy. You can object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful processing.

Email hello@lovesaundersfoot.co.uk to exercise your rights. We may need to check your identity. If you are unhappy with how we handle your information, please contact us. You can also complain to the Information Commissioner’s Office (ICO).

Cookies and similar technologies

Cookies are small files placed on your device. Some support website functions and remember preferences; others help measure use or enable content from third-party services.

  • Necessary and preference cookies: WordPress uses cookies for login and administration where applicable. Avada uses the privacy_embeds cookie to remember supported third-party content preferences; the site is currently configured to remember these preferences for 30 days. The cookie banner may also remember that it has been dismissed.
  • Google Analytics: the site uses Google Analytics 4. Its standard cookies include _ga (to distinguish users) and _ga_<container-id> (to maintain session state). Google’s default lifetime for these cookies is two years, although settings and browser restrictions can shorten this. These are analytics cookies, not essential website cookies.
  • Third-party content: maps, social media or other embedded content may contact their providers and use cookies when enabled. Providers’ own privacy and cookie information applies. Following an external link also takes you to a website with its own policies.

Use Accept All, Reject All or Settings in the cookie banner to choose whether to allow optional analytics and supported third-party content. Google Analytics is blocked until you consent. You can also block or delete cookies through your browser and use Google’s Analytics opt-out browser add-on. Blocking cookies may affect some website features.

Keeping this policy up to date

We may update this policy when our services, tools or practices change. The date at the top shows when it was last updated. This policy applies to Love Saundersfoot; other websites and independently operated businesses have their own privacy policies.
